Vehicle Maintenance

The service and workshop module allows recording and reporting on costs of servicing vehicles, including servicing under maintenance agreements, warranty or vehicles under lease contracts.

Servicing

The Fleet Manager Servicing Module is a fully functional job module for scheduled and unscheduled servicing. Costs associated with the job can either be billed to the vehicle or allocated to the vehicles lease or warranty budget. Once recorded, job data can be extracted to a 3rd party card or accounting system to be billed to the appropriate party.

Licensing and Compliance

Vehicle compliance is controlled using the licensing module. This provides the ability to track when vehicle licenses, fitness or smog checks, insurance are due. Once processed in Fleet Manager, costs can be extracted to 3rd party billing or accounting systems.

Lease Management

Fleet Manager tracks lease information about vehicles such as company supplying the lease, their contact details and terms of the lease including scheduled maintenance allocation and warranty information. Vehicles administered though Fleet Manager can also have cost and replacement information recorded. This information is used in scheduling for replacement, and also for accurate operating costs of the vehicle for tax and accounting purposes.

Accident and Infringement Management

Incidents such as traffic accidents or offences for parking or traffic infringements are managed through the infringement module.

Track information such as accident details, third party information and insurance company details. Giving fleet coordinators the ability to insure the progression and settlement of accidents and to schedule expiry date for fines and generate reminder notices for drivers.

Fringe Benefit Tax

Fleet Manager includes a comprehensive Fringe Benefit Tax (FBT) module. This calculates FBT based on country specific rates with ability to schedule exempt and contributory days. In addition, tax department accredited invoices for vehicle usage, contributions and FBT can be generated for tax purposes.

Cost Management

Using the internal modules, servicing, licensing, depreciation and fringe benefit tax, Fleet Manager can track fleet operating costs. In addition, a simple import process allows transactions completed outside of Fleet Manager to be loaded and included in operational cost calculations. Transactions such as add hoc services or fuel transactions from credit or charge cards can be loaded to provide tracking from a single system.

Reports

One of the key features in Fleet Manager are the comprehensive range of reports that allow fleet coordinators flexibility and control over their fleets. Core reports include vehicle, cost centre or account level reporting, current and lifetime operating costs, vehicle efficiency, vehicle replacement and disposal and many more.
